When there are sudden problems in a project, it is a matter of staying calm and acting fast. This is what I generally do:
Analyze the situation – Identify the risk, the severity of the risk, and how the risk will impact the project.
Speak to the Team & Stakeholders – Speak to the appropriate people to gain a better understanding of the problem and to generate potential solutions.
Prioritize & Adjust – Determine what has to change—whether it's the timeline, budget, or scope—and adjust.
Have a Backup Plan – In case Plan A doesn't work, always have a Plan B (or even C) up one's sleeve.
Be Transparent – Keep everyone in the loop so there are no surprises down the line.
Learn & Improve – Once the problem has been solved, return and think about what can be done differently next time to prevent the same risk. The secret is to remain flexible and centered, ensuring the project continues to advance without real setbacks.
